What Is Calibration Management Software? A Plain Guide for Quality Teams

7 min read Published

Calibration management software is a system for keeping measuring instruments in calibration and proving it. It holds the list of instruments, works out when each one is due, records each calibration with its readings and certificate, and keeps a history an auditor can follow. We make one, so this guide says where we fit at the end and keeps the rest general.

Calibration management software, in short

Every gauge, meter and sensor used to accept product or report a result needs periodic calibration against a more accurate reference. Calibration management software tracks that work. It replaces the spreadsheet, the wall calendar and the filing cabinet of certificates with one record per instrument.

It is different from the software that runs a calibration. Calibrator software drives the instrument and takes the readings. Management software stores the result, schedules the next one and keeps the evidence.

What it does day to day

  • Keeps the instrument register: ID, type, location, owner, interval and tolerance.
  • Works out due dates from the last calibration and the interval, and sends reminders before they pass.
  • Records each calibration with its as-found and as-left readings, the result and the certificate.
  • Shows the current status of each instrument, often on a label you can scan.
  • Flags an out-of-tolerance reading and helps you find the work that instrument affected.
  • Keeps an audit trail of who changed what and when.
  • Exports the records an auditor or customer asks for.

Who uses it

Quality teams at manufacturers are the largest group. Their gauges and test equipment back the decision to ship product, and standards such as ISO 9001, AS9100, IATF 16949 and ISO 13485 ask for calibration records.

Calibration and testing labs use it to control their own reference standards under ISO/IEC 17025. Labs that sell calibration to customers usually also need lab management software for quotes, work orders and customer certificates.

Utilities, maintenance teams and universities use it too, wherever measurements have to be trusted and shown to be trustworthy.

How it is priced

Prices vary more by pricing model than by feature. These are the common models, with examples from vendors' published pricing as we found it in September 2026.

Common pricing models for calibration management software, with published examples
Pricing modelHow it worksPublished example
Perpetual licence per seatA one-time licence for each user, plus yearly maintenance for updates and support.Calibration Control lists a $768 base licence for one user and $200 for each added seat.
Subscription per userA monthly or yearly fee for each named or concurrent user.ProCal Direct lists a starting price of $179 a month, per user, billed annually.
Quote onlyNo published price. You request a quote from sales.GAGEtrak, Fluke MET/TEAM and IndySoft route pricing through a quote or a demo.
Flat subscription per workspaceOne price for the whole account, set by the number of instruments.Axiospec is free up to 50 instruments, then $59 a month for 500, with unlimited users.

When a spreadsheet is still enough

A spreadsheet is a fair choice for a short list kept by one careful person, with no auditor asking who changed what. Many good programs start there.

It gets harder when the list grows past a few dozen instruments, when a second site or shift joins, when technicians need to log work themselves, or when an audit asks for history a spreadsheet does not keep.

What to check before you choose

  • The standard you work to, and whether the tool's records cover what it asks for.
  • How corrections are made, and whether the original stays visible.
  • Whether as-found readings are kept as data.
  • Logins for everyone who touches an instrument, and what each one costs.
  • Whether technicians can log work at the instrument, on a phone or tablet.
  • How your existing records come in, and how all of them come out again.

Where Axiospec fits

Axiospec is cloud calibration management software for quality teams and labs that control their own equipment. It runs in a browser and in native iOS and Android apps, with a tamper-evident audit trail and unlimited users on every plan. It is free for up to 50 instruments. We load your existing records for you at no cost, usually within a couple of business days.

It does not run calibrators, and it does not bill customers for calibration work. If either is central to what you do, look at tools built for that.

Common questions

What is calibration management software?
It is software that keeps measuring instruments in calibration and proves it. It holds the instrument list, schedules calibrations, records results and certificates, and keeps a history for audits.
Is calibration management software the same as a CMMS?
No. A CMMS manages maintenance work on equipment in general. Calibration management software adds what calibration needs: readings against tolerance, traceability to reference standards, certificates and out-of-tolerance handling. Some CMMS products include a basic calibration module.
Do I need calibration management software for ISO 9001?
No. ISO 9001 asks for calibrated equipment and kept records, not a particular tool. A spreadsheet can work for a small list. Software helps once reminders, several people or several sites are involved.
How long does it take to set up?
It depends on how your records arrive. Importing a clean spreadsheet can take an afternoon. In Axiospec you can also send us your existing records and we load them for you, usually within a couple of business days.
Is there free calibration management software?
Yes. Axiospec Free covers up to 50 active instruments with unlimited users and no time limit. GageList has a smaller free tier. Most established systems are paid.

Put it into practice

Got a gage list? Send it over and we load it for you, usually in a couple of business days. Free on every plan. Then log every calibration to a tamper-evident audit trail and produce records on demand.

Axiospec is a documentation and workflow tool. It helps you keep clean, traceable, audit-ready records; certification depends on your own processes, scope, and assessor.
