How to pass a calibration audit
Audit week should not mean a scramble through spreadsheets and filing cabinets for a certificate that may or may not exist. Calibration is one of the most predictable parts of any quality audit: assessors look for the same handful of things every time, and almost every finding traces back to a few avoidable gaps. What an assessor checks on calibration
Whatever standard you are audited against, the calibration requirement comes down to one principle: you must be able to show that the equipment you use to measure quality is itself accurate and under control.
An assessor usually picks a few instruments and follows the thread. Is this gage in calibration right now, can you prove it, is the standard it was calibrated against itself traceable, and what happened the last time something was found out of tolerance.
- ISO 9001:2015, clause 7.1.5 (monitoring and measuring resources): equipment is calibrated or verified against traceable standards, identified, safeguarded, and records are kept.
- ISO/IEC 17025 (testing and calibration labs): stricter requirements around measurement traceability, uncertainty, and intervals.
- AS9100 (aerospace) and IATF 16949 (automotive): build on ISO 9001 with added rigor on records and out-of-tolerance handling.
- ISO 13485 (medical devices): similar control requirements with a heavy emphasis on records.
Your audit-prep checklist
Work through this before your audit. If you can answer yes to every line, the calibration section should be clean.
- Inventory: every active instrument has a unique ID and is on a master list that reflects reality, with nothing retired still listed as active and nothing in use that is missing.
- Schedule: every instrument has a defined calibration interval with a documented basis (manufacturer guidance, usage, history, or risk), and nothing is overdue.
- Certificates: a current calibration certificate exists for every instrument, showing traceability to a national standard such as NIST.
- Readings: as-found and as-left values are recorded, not just a pass stamp, along with who performed the calibration and when.
- Traceability: any in-house reference standards are themselves calibrated and traceable, so the chain is unbroken from the shop-floor gage up to the national standard.
- Out-of-tolerance handling: you have a procedure for it, and past events show an impact assessment of what product or measurements were affected.
- Procedures and retention: calibration procedures are documented and followed, and records are retained for the required period and remain retrievable.
The five most common findings
Most calibration nonconformances are variations on these five, and each one is preventable.
- Overdue instruments: the most common finding. A gage slips past its due date because a reminder lived in someone's head or a spreadsheet nobody checks.
- Missing or incomplete certificates: the instrument was calibrated, but the certificate is missing, lacks traceability information, or shows only a pass with no as-found and as-left data.
- No out-of-tolerance impact assessment: an instrument was found out of tolerance and simply re-calibrated, with no record of what product or measurements taken with it may have been affected. Assessors weigh this heavily, because it is where a bad measurement reaches the customer.
- Untraceable reference standards: shop-floor gages are calibrated against an in-house master, but the master has no current, traceable certificate, so the chain is broken.
- Weak records: no record of who calibrated an item, when, or against what. A pass stamp is not a record.

Common questions
How often should instruments be calibrated? There is no universal interval. Frequency is set per instrument from manufacturer guidance, how heavily it is used, its history, and the risk if it drifts. Assessors expect a defined interval with a documented basis, not a guess.
What is the difference between as-found and as-left? As-found is the instrument's condition when it arrives for calibration, before any adjustment. As-left is its condition after. Recording both is what lets you assess whether earlier measurements were affected.
What records do assessors want to see? At minimum a current certificate showing traceability to a national standard, as-found and as-left readings, the calibration and due dates, who performed it, and the procedure used. For out-of-tolerance events, an impact assessment as well.
Can a spreadsheet pass a calibration audit? It can, but it is where most findings come from. Spreadsheets do not remind you when something is due, do not enforce records, and cannot produce an instrument's full history on demand.
